I. Job Responsibilities
The Academic Affairs Office of the College of Automotive Engineering is the college-level administrative body responsible for implementing policies and directives issued by the University’s Undergraduate School and other relevant departments, overseeing the education and teaching management of full-time undergraduate students, and supporting other college offices in faculty development and student holistic cultivation. It maintains teaching order, ensures instructional operation, and guarantees teaching quality.
(1) Admissions and Major Transfer Management
Implement university admissions policies and formulate enrollment plans aligned with the College’s educational objectives.
Organize admissions outreach, provide professional consultations, and expand the recruitment of high-caliber students.
Establish detailed regulations for major transfer procedures and regulate the undergraduate major transfer process.
(2) Academic Program Development and Management
Guide each academic program in optimizing and adjusting its structure in response to industry demands.
Organize academic programs to conduct research, formulate, and dynamically revise talent cultivation plans.
Advance the continuous improvement of program content and coordinate the allocation of teaching resources and facilities.
(3) Teaching Operations Management
Develop annual course scheduling plans for all undergraduate programs, coordinate semester course arrangements and teaching task assignments, and organize student course registration to ensure orderly teaching operations.
Organize academic programs to fulfill teaching tasks, ensure that course instructors regularly revise and refine syllabi, and oversee all instructional activities—including lesson preparation, classroom teaching, assignment grading, tutoring, and assessment.
Strictly follow university academic regulations to carry out preliminary review and verification of graduation eligibility and degree eligibility for graduating undergraduate students, verify graduate information, and complete certificate review, issuance, and related matters in accordance with regulations.
(4) Teaching Quality Management
Establish and maintain a robust college-level teaching quality assurance and evaluation system, standardize all teaching procedures, identify potential risks, and ensure efficient and stable teaching operations.
Implement closed-loop quality monitoring for undergraduate teaching, organize teaching inspections, peer evaluations, teaching assessments, and feedback mechanisms to ensure continuous quality improvement.
(5) Textbook Selection and Review Management
Enforce textbook review and selection procedures, ensuring strict compliance with political and academic standards.
Organize academic programs to undertake textbook revision and writing, ensuring timeliness and academic rigor.
(6) Laboratory and Practical Training Management
Develop course schedules for undergraduate laboratory and practical training sessions, and coordinate the implementation of practical teaching tasks and arrangements.
Advance the construction, management, and maintenance of on-campus and off-campus internship bases, and enhance practical teaching conditions and educational outcomes.
(7) Undergraduate Examination Management
Oversee the entire process of undergraduate examination management, including examination scheduling, proctor allocation, test-taking discipline, and the review and confidentiality of examination papers.
Ensure that instructors complete grade assessments on time, coordinate examination paper review and grade verification, compile and archive relevant materials, and organize examination paper analysis and continuous evaluation.
Guide each academic department in properly organizing, archiving, and authorizing access to various teaching materials, including quizzes, assignments, laboratory reports, examination papers, and grade transcripts.
(8) Academic Record and Academic Early Warning Management
Supervise the full-cycle management and standardization of undergraduate academic records, strictly review all changes to student status—including transfers, major changes, suspension, reinstatement, and withdrawal—process approval procedures in accordance with regulations, and promptly update academic record changes.
Conduct regular undergraduate academic early warning procedures as required by teaching management policies, issue make-up examination notifications, notify students with academic difficulties and their advisors in a timely manner, and support student academic tracking and remediation to facilitate successful degree completion.
(9) Recommendation of Outstanding Graduates for Postgraduate Admission without Entrance Examination
Establish detailed regulations and a merit-based point system for recommending outstanding undergraduate graduates for postgraduate admission without entrance examination.
Oversee the ranking for postgraduate admission recommendation, verify merit-based points and eligibility requirements, allocate recommendation quotas, and manage the publication of information at each stage of the process.
(10) Teaching Reform and Research Management
Advance undergraduate teaching reform initiatives, organize applications for teaching reform projects at all levels, and promote innovation in teaching methods and models.
Coordinate course development—including premium courses, first-class courses, open online courses, and value-driven courses—and textbook development, continuously enhancing course and textbook quality.
Formulate detailed regulations for teaching awards, and coordinate the cultivation, organization, and application of Teaching Achievement Awards and Textbook Development Awards.
Organize and coordinate preparations, applications, self-evaluations, and on-site reviews for teaching assessments and program accreditation.
(11) Teaching Fund Utilization and Management
Develop annual undergraduate teaching budgets in accordance with university and college fund management regulations, and formulate allocation and utilization plans for each academic department.
Specify the scope of fund utilization, oversee the reasonable and compliant use of funds, and maintain records and cost-effectiveness evaluations of fund utilization.
(12) Faculty Development and Workload Management
Assist the College General Administration Office and Talent Office in organizing the Teaching Committee to conduct qualification assessments and teaching competency evaluations for prospective faculty members.
Organize faculty participation in orientation and teaching competency training, arrange faculty participation in teaching excellence competitions, and improve the faculty teaching development and assessment framework.
Manage the selection and performance evaluation of undergraduate class advisors, clearly defining their responsibilities and enhancing the College’s educational capacity.
Accurately calculate faculty teaching workloads and assist other departments in verifying teaching data for faculty awards, honors, and professional title reviews.
(13) Other Responsibilities
Timely communicate and implement university policies and requirements regarding undergraduate teaching, coordinate with academic departments to advance teaching-related initiatives, and serve as a liaison between the College and university stakeholders.
Complete other teaching-related tasks assigned by the College.
